This policy explains what information Foals-R-Us, Inc., doing business as Foals R Us Repro Center & Stallion Station, collects through foals-r-us.com and the Foals R Us client portal, how we use it, and who we share it with. The website

Forms. When you send us a form on the website, we receive what you type in it, such as your name, email, phone, mare details and message, and we use it to answer you and to prepare your contracts and paperwork. Some forms also record the approximate location of the device that sent them, worked out from its internet address. Form entries may be copied to a Google Sheet that the office uses to keep track of requests.

Analytics. The website uses Google Analytics to count visits and see which pages are read. Google receives your internet address and details about your browser and the pages you visit, and sets cookies to tell visits apart. You can block these cookies in your browser or install Google’s opt-out add-on at tools.google.com/dlpage/gaoptout.

Fonts and video. Our pages load their fonts from Adobe Fonts and some videos from Vimeo. Your browser connects to Adobe and Vimeo to get them, which gives those companies your internet address.

The client portal

The client portal at foals-r-us.com/portal/ is where clients book mares, sign breeding contracts, pay, ask for shipments and follow each mare through the season. To do that, it keeps the following.

Your account. Your name, business or ranch name, email address, phone number, mailing address and usual veterinarian. Your password is stored scrambled, so no one at Foals R Us can read it. You can also sign in with a one-time link sent to your email.

Your mares. Each mare’s registered name, registration number, year foaled, color, sire and dam, any photo you add, and copies of her registration papers. When you add a mare, the portal checks her name and number against the American Quarter Horse Association’s records.

Contracts. Each breeding contract you sign, with the mare owner’s name, address and phone, your veterinarian’s name, clinic, shipping address, phone and email for shipped breedings, and your signature. We also record the date and time you signed, the internet address you signed from and the browser you used, and the internet address is printed on the signed contract. A copy is saved in your account and emailed to you.

Payments. Payments go through Authorize.net. Card and bank account numbers are typed into Authorize.net’s secure payment fields or its own payment page and go straight to Authorize.net. They never reach our website and we never store them. Authorize.net receives your name, billing address, email and internet address with each payment. If you choose to save a card or bank account, Authorize.net keeps it, and the portal keeps only its type, last four digits, expiration date and a record of your permission to charge it. We keep a record of each payment, its amount, what it paid for, and any refund.

Season records. Shipments you ask for and where they go, pregnancy reports, Breeder’s Certificate requests, notes the office adds about your mare, and vet reports.

Emails and activity. A copy of each email the portal sends you, and a record of what was done on your account and by whom. One-time sign-in links and codes are never kept.

Cookies. The portal sets cookies to keep you signed in, and a cookie that lasts one hour to remember a stallion you chose to book before signing in. If the sign-up form uses Cloudflare Turnstile to stop automated sign-ups, Cloudflare checks your browser and may set its own cookie.

Who can see your information

The people on your account and the Foals R Us office. You can add authorized users, such as a trainer or ranch manager, on the Account page. They see your mares, contracts, charges and documents with their own login, and you decide whether each one can book and pay. You can remove them at any time.

Who we share it with

We do not sell your information. We share only what each of these needs to do its part:

• Authorize.net, to take, save and refund payments.
• The American Quarter Horse Association and other breed registries, to check a mare’s registration, file stallion reports and issue Breeder’s Certificates.
• Your veterinarian, for shipments and breeding records.
• Shipping carriers such as FedEx, which receive the name, address and phone for each shipment.
• Google, which provides our analytics and the Google Sheet where the office keeps its list of contracts and requests.
• Our website host, our email service and Cloudflare, which run the website, store files in encrypted form and deliver email for us.
• Anyone the law requires us to.

How long we keep it

We keep your account and records while your account is open. After that, we keep contracts, payment records and breeding records for seven years for registration paperwork, taxes and legal reasons, then delete them.

Your choices

You can see and change your details on the Account page of the portal, remove saved cards, and remove mares and papers that are not on a contract. To change your email address, get a copy of your information, or close your account and have your information deleted, contact the office. We will do it unless we must keep a record by law or for a contract that is still open. To stop marketing emails from us, contact the office. Emails about your contracts, payments and shipments will still be sent.

Security

The website and portal are served only over an encrypted connection. Your documents are stored encrypted and can be opened only by the people on your account and the office. Office logins require a second sign-in step, and card numbers never touch our website. No system is perfectly secure, so please keep your password to yourself and tell us right away if you think someone else has used your account.

Clients outside the United States

Foals R Us is in Texas, and your information is stored and processed in the United States.

Children

The website and portal are for adults. We do not knowingly collect information from anyone under 18.

Changes to this policy

If we change this policy, we will post the new version here with a new effective date.
